Businesses (definitely small businesses) like corporations, partnerships and sole proprietorships are considered and recognized to be “different persons” as opposed to the individuals owning and operating them. Corporations / businesses can own a car but unlike an individual they cannot get a license to legally operate the vehicle.

In Ontario, this is addressed by assigning a unique identifier number, known as the RIN, to each company and corporation that owns a vehicle.

A notary public can notarize RIN letters. RIN letters are mandatory and are a requirement as imposed by the Ministry of Transportation (via Service Ontario).

The process of preparing and notarizing a RIN letter includes the step of reviewing the business’ incorporation papers, DBA registration or master license, if any, along with at least two (2) pieces of address proof documents of the business (example, corporate tax return, utility bill or leasing agreement or an insurance policy); before filling the RIN form (available at all service Ontario locations) and notarizing, i.e. signing under stamp and seal by a notary public. Upon completion the document is ready to be submitted to your nearest service Ontario location.

Please note that an update of an address associated with a business vehicle requires a different procedure.
